The person making the booking is responsible for ensuring all participants in the booking comply with these Terms and Conditions.

Guests who are uncertain about their ability to participate safely should seek appropriate medical advice before taking part.
Guests must immediately notify staff of any injury, accident, near miss, hazard, or damage. In an emergency, guests must stop the activity, follow staff instructions, and contact emergency services where required. Nothing in these Terms requires a person to delay urgent medical assistance.

4. Pickleball Court Usage Rules
To ensure safety and enjoyment for all guests:
•    Appropriate non marking footwear must be worn.
•    Courts may only be used during the booked time.
•    Participants must follow posted court etiquette and staff directions.
•    Dangerous play, reckless conduct, and deliberate abuse of equipment are prohibited.
•    Stanley Street Clubhouse reserves the right to remove participants failing to comply with safety requirements.
Open play sessions do not guarantee continuous court time, a particular partner, opponent, court, or standard of play.

5. Golf Simulator Usage Rules
Guests using golf simulators must:
•    Follow all simulator safety instructions.
•    Use only approved simulator golf balls. Personal golf balls must not be used unless approved by staff.
•    Ensure only one player is swinging at a time.
•    Remain clear of the designated hitting area.
•    Use clean clubs and footwear.
•    Supervise children at all times.
•    Club hire is subject to availability, payment of the applicable fee, and any identification or security requirement requested at check in.
•    Hired clubs may only be used in the allocated simulator bay and must not be removed from the premises.
•    The hirer must inspect the clubs before use and promptly report any existing damage or defect.
•    The hirer is responsible for the clubs from collection until they are returned to staff.
•    Clubs must be used safely and for their intended purpose. Throwing clubs, striking surfaces other than the ball, or other misuse is prohibited.
•    Reasonable repair or replacement costs may be charged where clubs are lost or damaged through misuse, negligence, or failure to follow staff instructions, excluding fair wear and tear.
Any damage caused through negligence, misuse, or failure to follow instructions may result in repair or replacement costs being charged to the guest responsible.
Guests must stop using a simulator, club, ball, screen, launch monitor, or other equipment if it appears damaged, defective, or unsafe and must notify staff immediately. Guests must not attempt to repair, adjust, move, or reconfigure simulator equipment unless directed by staff.

A booking is not confirmed until the required payment has been received and confirmation has been issued through the applicable booking channel. Guests must provide accurate booking and contact information and promptly advise Stanley Street Clubhouse of any errors. Any applicable taxes, booking fees, payment processing charges, or other charges will be disclosed before payment is completed.

Annual ASB Classic Closure

The Clubhouse is unavailable for public bookings during its annual ASB Classic closure, which generally runs from the second or third Monday in December until the last Tuesday in January or the first Monday in February. Booking credits cannot be redeemed during this period. The closure does not automatically extend a credit’s validity or expiry date, except where otherwise stated when the credit is issued or required by law. Exact closure dates may vary from year to year and will be notified in advance where reasonably practicable through the Clubhouse website, booking channels, venue signage, email, or other customer communications.

Stanley Street Clubhouse reserves the right to:
•    Adjust facility availability
•    Reallocate courts or simulator bays
•    Cancel bookings for operational or safety reasons
•    Close or restrict access to all or part of the venue due to maintenance, private functions, competitions, safety requirements, or other operational reasons
•    Provide reasonable notice of planned closures where practicable through venue signage, booking channels, email, or other customer communications
•    Change access without advance notice where urgent action is required for safety, security, licence compliance, equipment failure, or circumstances beyond reasonable control
•    If Stanley Street Clubhouse closes or restricts access to a facility and this materially affects an existing booking, it will offer a reasonable reschedule, booking credit, or refund in accordance with the applicable booking terms and any rights available under law.

Guests should arrive by any check in time stated in their booking confirmation. Bookings begin and end at the confirmed times. Late arrival does not extend the booking and may reduce the time available. Guests must stop play promptly at the end of their booking unless an extension has been approved and paid for.

7. Cancellations and Refunds
A request to change the date, time, activity, court, simulator bay, or booking holder is treated as a rescheduling request and remains subject to availability. Stanley Street Clubhouse may charge a reasonable administration fee where that fee was disclosed when the booking was made. A rescheduled booking may be subject to the price that applies to the new date, time, activity, court, or simulator bay.
Individual Bookings
•    At least 12 hours before the confirmed booking start time: full booking credit or one reschedule, subject to availability. Notice is effective when received through the applicable booking channel.
•    Less than 12 hours before the confirmed booking start time: one reschedule, but no refund or booking credit, except where required by law.
•    No shows: no refund or credit
Clubhouse Cancellation
Where Stanley Street Clubhouse cancels a booking, the booking holder may choose either a full refund of amounts paid for the cancelled booking or a booking credit of the same value, unless a different remedy is required by law or agreed with the booking holder.
Corporate and Private Events
•    Corporate and private event bookings are not confirmed until the required deposit has been paid and written confirmation has been issued.
•    Cancellations made more than 30 days before the event will receive a refund of amounts paid, less any stated administration fee and non recoverable third party costs.
•    Cancellations made 15 to 30 days before the event will forfeit the deposit. Any additional amounts paid will be refunded after deducting non recoverable third party costs.
•    Cancellations made 14 days or less before the event are non refundable.
•    One request to change the event date may be accepted at the discretion of Stanley Street Clubhouse, subject to availability, notice, revised pricing, and supplier costs.
•    Final guest numbers, catering selections, dietary requirements, and event details must be provided by the deadline stated in the booking confirmation. Charges may be based on the confirmed number or actual attendance, whichever is greater.
•    If Stanley Street Clubhouse cancels the event and cannot offer a suitable alternative, amounts paid directly to Stanley Street Clubhouse will be refunded. This does not extend to indirect costs incurred by the client.
Any different cancellation schedule stated in an event proposal or booking confirmation will take priority over this section.

8. Membership Terms
Membership benefits, access, pricing, cancellation, suspension, and freeze provisions are subject to the membership type and any terms provided at sign up.

Annual ASB Classic Closure

Stanley Street Clubhouse operates for up to 46 weeks each membership year. The Clubhouse will close for approximately six weeks each year to accommodate ASB Classic player services and tournament operations. The closure generally runs from the second or third Monday in December until the last Tuesday in January or the first Monday in February. Exact closure dates may vary from year to year and will be notified to members in advance where reasonably practicable.

Membership pricing, benefits, and included bookings reflect this annual closure. During the closure:

  • access to the Clubhouse and its facilities will be unavailable;

  • no included bookings or other usage entitlements will accrue; and

  • members will not be entitled to suspend or extend their membership, or receive a refund, credit, or reduction in membership fees because of the closure, except where required by law.

Guest access and member conduct
•    Guests must be registered before using the facilities and may be required to provide identification.
•    The member must remain on site with their guest and is responsible for ensuring the guest follows these Terms and staff instructions.
•    Guest access is subject to capacity, booking availability, operating hours, and any applicable guest fee.
•    A guest pass does not provide membership benefits, priority booking rights, or access beyond the date and activity for which it was issued.
•    Stanley Street Clubhouse may limit guest visits, exclude particular sessions or events, or refuse a guest pass where reasonably required for safety, capacity, conduct, or operational reasons.
•    Members must treat guests, staff, contractors, and other members with courtesy and support a safe, respectful, and inclusive Clubhouse environment.
•    Members must follow booking rules, safety requirements, liquor licence conditions, and reasonable staff instructions.
•    Members must not share access credentials, misuse membership benefits, or misrepresent another person as a member.
•    Members must respect the privacy, property, and reasonable enjoyment of others and avoid abusive, threatening, discriminatory, harassing, dishonest, unsafe, or disruptive conduct.
•    Members must promptly report hazards, damage, incidents, or serious misconduct to staff.
•    Stanley Street Clubhouse may investigate suspected breaches and issue a warning, restrict access, suspend membership, or terminate membership where reasonably justified by the seriousness or frequency of the conduct. Immediate suspension may be imposed while a serious safety or conduct matter is reviewed.
•    Refunds are not required where membership is terminated for a material breach, except where required by law.
•    Membership does not guarantee uninterrupted access to every facility, court, simulator bay, hospitality area, or session.
•    A temporary closure does not automatically entitle a member to a membership refund or extension. Stanley Street Clubhouse may offer a reasonable remedy where a closure is substantial or prolonged, taking account of its duration, the facilities affected, membership benefits that remain available, and applicable consumer law.

9. Coaching and Programmes
Participants in coaching programmes:
•    Must follow coach instructions
•    Must advise of any medical conditions relevant to participation
•    Refunds, credits, make-up sessions, and transfers for missed coaching or programme sessions are governed by the terms disclosed at registration. No refund or credit is available where those terms exclude it, except where required by law.
•    May be grouped according to age, ability, or programme requirements
•    Entry into a league, tournament, ladder, or other competition is confirmed only when registration and any applicable fee have been received.
•    Players must arrive by the stated check in time and be ready to play when called.
•    Late arrival, withdrawal, or failure to appear may result in a default, loss of entry fee, or removal from the competition.
•    Players must comply with the published event format, scoring system, eligibility criteria, equipment requirements, and directions of officials or staff.
•    Results and line calls should be resolved fairly between players. Any unresolved dispute must be referred promptly to the event official, whose decision is final for the purpose of the event.
•    Stanley Street Clubhouse may alter draws, divisions, schedules, courts, or formats where reasonably required by entry numbers, safety, timing, or operational needs.
•    Unsporting conduct, abuse, deliberate rule breaches, or interference with play may result in a warning, point or game penalty, default, removal, or exclusion from future competitions.

10. Food and Beverage
Guests must comply with all liquor licensing requirements.
Stanley Street Clubhouse reserves the right to:
•    Refuse service of alcohol
•    Remove intoxicated patrons
•    Permit alcohol to be purchased, supplied, and consumed only in approved areas and at approved times under the Clubhouse liquor licence
•    Prohibit alcohol within active pickleball playing areas unless a specific event format and venue setup have been approved by management
•    Require drinks permitted near courts to remain in designated areas and off the playing surface
•    Prohibit glassware on or beside courts
•    Stop play, refuse alcohol service, remove drinks, or require a guest to leave where reasonably necessary for safety or licence compliance
Guests must not participate where alcohol consumption impairs coordination, judgement, or safe play. No person may supply alcohol to a minor.
No outside food or beverages may be brought onto the premises unless approved by management.

11. Damage and Liability
Guests are responsible for damage caused to:
•    Golf simulators
•    Screens
•    Launch monitors
•    Courts
•    Furniture
•    Fixtures
•    Hired equipment
Repair or replacement costs may be recovered where damage results from misuse, negligence, or intentional conduct.
To the maximum extent permitted by law, Stanley Street Clubhouse is not liable for indirect or consequential loss arising from access to or use of the premises, facilities, activities, equipment, services, or events. Nothing in these Terms excludes, restricts, or modifies any liability or remedy that cannot lawfully be excluded, restricted, or modified. Each party must take reasonable steps to minimise any loss it suffers.

12. Personal Property
Guests are responsible for safeguarding their personal belongings. To the extent permitted by law, Stanley Street Clubhouse is not liable for loss, theft, or damage to personal property unless the loss or damage results from an act or omission for which Stanley Street Clubhouse is legally responsible.

13. Photography and Marketing
Photography or filming may take place during activities, events, and general venue use. Where Stanley Street Clubhouse intends to use an identifiable image or recording of a guest for promotional or marketing purposes, it will obtain any consent required by law. Guests who do not wish to be photographed or filmed should notify staff as early as possible so reasonable steps can be taken to accommodate the request.
Guests who do not wish to appear in marketing material should notify staff.
Security cameras may also operate throughout the venue.

14. Privacy
Personal information collected through bookings, memberships, or enquiries will be managed in accordance with the Privacy Act 2020.
Information may be used for:
•    Booking administration
•    Membership management
•    Customer communication
•    Marketing communications where consent has been provided
Guests may request access to or correction of their personal information, or raise a privacy concern, by contacting Stanley Street Clubhouse using the contact details published on its website or booking confirmation. Further information about collection, storage, disclosure, retention, and privacy complaints is set out in the Clubhouse privacy statement.

15. Consumer Rights
Nothing in these Terms limits any rights available under:
•    Consumer Guarantees Act 1993
•    Fair Trading Act 1986
•    Privacy Act 2020
where those laws apply.
These Terms and Conditions are governed by the laws of New Zealand. Questions, notices, complaints, or requests relating to these Terms and Conditions should be sent to Stanley Street Clubhouse using the contact details published on its website or booking confirmation. If a dispute arises, the parties should first attempt to resolve it in good faith. This does not limit either party’s rights under applicable law.
